Program Associate

Reports to: Senior Manager, Brilliant Baby


Oakland Promise, an Oakland-based non-profit organization, is seeking a Program Associate to support its Brilliant Baby program. This entry-level team member is charged with  supporting the client facing and operational aspects of the Brilliant Baby program. Under the direct supervision of the Brilliant Baby Sr. Manager, the Program Associate is responsible for supporting Brilliant Baby program implementation, with a focus on enrolling families into the program, customer service to participating families and administrative support.




A successful Brilliant Baby Program Associate will have the ability to: 


  1. Lead in-house Enroller – signing families up for Brilliant Baby
    • Scheduling, technical assistance, explain BB program, virtual & in-person (post-COVID) enrollment through on-line portal
    • Leads effort to achieve 100% of Interested Party set up
    • Support opening of family-owned CSAs


2. Brilliant Baby family Customer Service

    • Troubleshoot problems related to CSAs: set up, financial statements, online access
    • Respond to parent inquiries coming in via email, phone and social media
    • Maintain current contact family information 
    • Manage and send regular communications to families 
    • Coordinate special projects 


3. Administrative Support

    • Process approvals for stipend payments to parents; troubleshoot as needed
    • Process approvals for enrollment & college account seeding; troubleshoot as needed
    • Process invoices for payment
    • Manage monthly raffle to encourage parent participation
    • Manage contact lists 
    • Maintain referral resource folder
    • Data entry in Salesforce and CitySpan 
    • Other Administrative duties as assigned

4. Support the overall Oakland Promise & Brilliant Baby program

    • Support OP cross program integration and improvements
    • Represent BB as speaker or participant at meetings, webinars or conferences
    • Contribute to making OP an Anti-Racist organization
    • Other duties/projects as assigned




Required Qualifications:

  • Associate’s or Bachelor’s Degree, or relevant experience
  • Deep commitment to educational equity, early childhood success and family financial wellbeing
  • Excellent written and verbal communication skills 
  • Proficient in Google Suite including Docs, Sheets and Slides
  • Demonstrated ability to establish and maintain positive working relationships with others
  • Facility with technology, demonstrated ability to learn technology tools quickly
  • Excellent organizational and time management skills 
  • Ability to work independently and take initiative, tracking progress against work-plan goals
  • Ability to work flexible schedule (required to work some evenings/weekends) 
  • Bilingual: English & Spanish (additional languages appreciated)


Preferred Qualifications

  • Bachelor’s Degree, or relevant experience 
  • Familiarity with Salesforce 
  • Experience or education in early childhood development, education, and/or asset-building strategies to address poverty or other anti-poverty work. 
  • Some direct experience working with children, families and community 
  • Knowledge of and connections to Oakland communities



  • Full-time non-exempt position
